International Friends are expanding!

We are currently recruiting for a number of new roles at Head Office! The successful candidates will have excellent attention to detail, customer service skills, resilience and self-motivation. Role: Operations Assistant, International Friends Cruise Department - Temporary, March - October

Salary: £18,000 pro rata

  • Issue tour confirmations to suppliers and customers for upcoming tours
  • Respond to customer queries ad hoc
  • Update sales systems and supplier bookings appropriately
  • Emergency phone duties by way of a rota (out of office hours)
  • Contact customers to attain any missing booking details
  • Manage taxi bookings – order processing and confirmation
  • Manage agent bookings on external online sites
  • Ad hoc admin duties as required, possibly in other departments.


Role: Operations Controller - International Friends Scheduled Tours - Permanent 

Salary: £18,000 pro rata

  • Daily and weekly monitoring of scheduled tour sales, updating suppliers
    appropriately and communicating sales decisions internally
  • Booking and maintaining all hotels, transport and attractions suppliers for the
    International friends brand tours including paying deposits and balances when
  • Liaising with Operations Manager for guides and ensuring booked as needed
  • Creating all rooming lists, passengers lists and entry vouchers for International
    Friends tours
  • Issuing detailed tour packs (where relevant) to all relevant suppliers following company templates
  • Where full packs not needed, ensuring booking system lists are correctly allocated to
    all relevant suppliers (including noting attractions reference numbers) and that any
    extra information is passed to suppliers as required.
  • Attending tours where appropriate to ensure full understanding
  • Emergency phone duties according to rota
  • Respond to all relevant customer queries via email or telephone including some answering of the office phone/switchboard within reason.
  • Any ad hoc duties as required by the company.


Role: Sales Executive 

Salary: £18,000 + commission 

  • Maintain full service of the company incoming sales phone line and emails to
    answer all customer / agent/ affiliate queries with a view to converting into
    sales or fielding to relevant staff if non sales-related.
  • Providing private tour quotations and handling price negotiation where required
  • Sales-related system administration (e.g. adding new bookings to
    systems/tracking spreadsheets if necessary)
  • Process credit card payments for your sales and ensuring they are clearly
    labeled for correct allocation by accounts.
  • Work closely with key agents to provide client services and convert queries
    into sales.
  • Communicate relevant new sales to operations team for execution in detailed
    and timely manner
  • Relationship management and development of existing and potential trade
    clients/agents by way of calls, emails, visits and follow up.
  • Provide sales presentations and attendance to trade events as required. 
  • Emergency phone duties according to rota
  • Ad hoc duties as required by the Company.

We envisage the first 6-9 months (depending on the candidate) to be focused on the
first 6 duties above to ensure excellent product & company knowledge is established.
Once successfully established, the role will develop further into selling to trade/agents
and allow progress in business development.


Role: Operations Supervisor - International Friends Scheduled Tours

Fixed Term Maternity Leave Cover - 1 year to start asap

Salary on application 

Overseeing day to day operations for International Friends Scheduled tours, to ensure
smooth execution and daily management of the staff responsible for the same.

Operational Responsibility for the following tours:

  • Edinburgh (IF11)
  • Harry Potter tour with Hotel Pick up (IF41)
  • Deluxe Harry Potter Tour (IF45)

 Other duties:

  • Managing capacity and entry tickets for Highclere Castle Tours
  • Creating passenger lists & tour packs for tours with multiple departures
  • Providing hands-on operational support where required for;
  • Scheduled Tours (International Friends)
  • Small Group private tours (International Friends)
  • Any other areas required according to seasonal peaks
  • Participating in weekly sales meetings to ensure efficient management of tour capacity and utilization of company’s own vehicles & permanent staff
  • Providing 24 hour emergency phone service as part of a rota
  • Maintaining outstanding customer service: investigating customer complaints where appropriate and liaising with Cruise Package & Office Manager to conclusion.
  • Ad hoc projects as required.


Tour Guides and Tour Managers

Do you have a passion for history and travel?  Do you have a friendly, fun and personable character? If yes would you like to apply to work for one of Britain’s top tour companies? We are looking for tour managers and guides to work for International Friends in the period April to October 2020. 


Duties include

· One-day Shore excursions and transfers to and from Southampton, London and Dover.

· Day trips from London to destinations such as Warner Bros Harry Potter Studio tour, Oxford, Bath, Windsor, Stonehenge and more

· Tour Manager duties on overnight excursions to UK destinations and destinations such as Paris, Amsterdam and Edinburgh

Before applying, please note the following requirements. You must have:

1.     A UK or  European Passport, or a valid work visa for the UK

2.     Public Liability Insurance for UK minimum cover £1 million (we can assist with information of where you can buy this, cost £55-£70)

3.     Residency in or close to London or Southampton, or be prepared to travel to either destination to begin work. Please note many tours begin between 6-7am, you must be able to get to the starting point for this time. 

There are no minimum requirements to apply for the position of Tour Manager or Tour Guide.  However, if you have any previous experience in travel, tourism or a historical background will be relevant. Shadow our full time expert tour guides to become a fully trained tour guide for one of the UK’s top tour companies, with an opportunity to develop into a full career.
