1. Booking Deadlines
Please be aware that the booking deadlines have now passed. Unfortunately we are not able to accept any more bookings for travel.
2. Information you will receive after you submit your booking request
After you submit your booking you will receive an automatic message which confirms that International Friends has received your booking. This is called an e-ticket, and will be complete with your meeting instructions and the emergency number.
3. Changes to bookings
Please inform International Friends of any changes to your booking as soon as possible. All changes must be made in writing by email to [email protected].
Changes can only be accepted if you will still be arriving at the time our representatives will be at the airport (Saturday 7th , Sunday 8th & Saturday 14th September between 8am and 6pm UK Time).
Changes will only be accepted if the office is open. The office closes at 5pm on Friday and does not re-open until Monday at 9am, UK time. We cannot guarantee that last minute changes will be confirmed - we aim to reply to all emails in 2 working days.
4. How will I find you when I arrive at London Heathrow airport?
We will have a dedicated meeting point in the arrivals area of Heathrow Terminal 3. You need to meet us there after you have cleared passport and immigration control and collected your luggage. Staff from International Friends will be at the meeting point.
If you arrive at any other terminal in the airport you should use the free Heathrow transit service and make your way to the meeting point in Terminal 3. We are unable to meet you in any other terminal of the airport.
5. What documentation will I require at the airport?
Everyone arriving into the UK is subject to UK Border Force (immigration service) checks. Your passport or identity card and visa status will be checked at the airport before you are granted entry to the country. You can carry your passport and visa as well as your CAS email in your hand luggage.
London Heathrow is a very busy airport and it may take up to two hours from the time your plane lands until you are cleared to enter the UK.
Please do not worry if you are delayed during this process. Our staff will be monitoring details of your arrival and will be aware if there are delays at immigration or luggage collection. You can also ring the emergency number to confirm you have arrived, but are delayed coming through immigration and customs.
6. What happens if my flight is delayed departing or there is a delay during the flight?
Our staff will monitor flight arrival times so will know if your flight has been delayed. If you miss your flight or it is significantly delayed before departure please get in touch using the emergency number which will be provided on your e-ticket.
The shared transfer service is available at particular times: Saturday 7th, Sunday 8th and Saturday 14th September between 8am and 6pm UK time. If you arrive outside of these times, you will need to make your own arrangements.
7. How long will the trip to your hall of residence take?
We will be meeting students at different times and not all students will be travelling to the same halls of residence. You will have to wait at the airport for a coach or taxi to leave and could be travelling to a few halls of residence so could have a longer than average journey.
8. Is the Meet and Greet Transfer Service available on any other dates?
No. This service is only available on the dates listed.
9. Is the Meet and Greet Transfer Service available for transfers to all types of accommodation?
No. This service is only available for students staying at Harrow Hall, Marylebone Hall, Alexander Fleming Hall and Raffles House.
10. My flight does not land at Heathrow, what should I do?
If you are landing at another airport you will need to make your own arrangements to travel to the university or to your university accommodation.
11. How much baggage can I bring?
You can bring 2 bags of 20kg. If you bring more (including lots of hand luggage) then we may not be able to fit you into your designated taxi/coach and we will help you order your own taxi, which you will need to pay for.
12. If I am unhappy with the service who should I contact?
To send your feedback directly to International Friends, you can email [email protected]
The University buys the services of International Friends, so should you want to inform the University of any difficulties you have experienced with your transfer, then please email [email protected]
